Registration Papers

Once a Friesian is fully registered with the KFPS, it will be issued with its registration paper. This paper includes the horse's KFPS registered name, KFPS registered number, microchip number, date of birth, inbreeding coefficient (%) and dam (stam) line number. It also depicts the last four generations of the horse's pedigree (your horse being the fifth generation) aswell as any inspection grades awarded, the breeder and current owner details.

If you have just purchased a Friesian, you should have been given their registration paper at the time of sale and will first need to send it to the KFPS to update it so that the current owner details are correct. Once you have done this and received the registration papers back in your name, you can then apply for a change of ownership on your horse's passport, which can be done by FHAGBI. If you did not receive this document or have lost it, please refer to the section below on applying for a duplicate registration paper.

In order to update a Friesian’s registration papers into your name you must first be a member of FHAGBI, which will automatically make you a member of the KFPS too. This can be done by visiting the Online Store and becoming a Gold Member. Once you are a FHAGBI member you can update your horse's registration paper or request a duplicate if you do not have this document.

Before you request to update your horse's registration paper, please make sure you know whether your Friesian has the new-style maroon, or old-style green/yellow passport as there may be a slightly different procedure for updating registration papers depending on this. See the Passports section for more information.

CHANGE OF OWNERSHIP - WITH NEW-STYLE PASSPORT

Follow these steps if you have just purchased a Friesian with a new-style, maroon passport and wish to update their registration papers into your name.

  1. Become a GOLD member of FHAGBI (click here for details)
  2. Take copies of your horse’s registration paper; keep these for your own records.
  3. Fill in your name and address on the back of the registration paper. Although it is laminated, you still need to write your details on it.
  4. Download, print and complete the TO1 - REGISTRATION PAPER CHANGE OF OWNERSHIP FORM.
  5. Enclose original registration paper.
  6. Send both documents to the KFPS (address is on the form). We strongly recommend sending it via registered post and put your details as return address on the back of the envelope.

Once received, the KFPS will then invoice you directly. Payment of the invoice can be done in various ways.

  • Contact Lynsey Gordon, quoting the invoice number and amount in Euros. Lynsey will reply with the amount in pounds, plus bank fee. Send Lynsey the payment and she will pay the KFPS on your behalf.
  • Bank transfer
  • PayPal
  • Through your 'MY KFPS' account under 'My Invoices' on the KFPS website.

More information on the last three payment options will be included in the invoice sent to you by the KFPS. Once the KFPS has received your payment, they will issue/send you a new registration paper listing you as the current owner. You can then send the passport to us to be updated (see Passports section).

CHANGE OF OWNERSHIP - WITH OLD-STYLE PASSPORT

Follow these steps if you have just purchased a Friesian with an old-style, green/yellow passport and wish to update their registration papers into your name.

WITH medical treatment insert

If your Friesian has an old-style, green/yellow passport WITH the medical treatment insert, please follow the steps listed above for the new-style passport as it is exactly the same procedure.

WITHOUT medical treatment insert

If you have just purchased a Friesian with the old-style, green/yellow passport that does not have a medical treatment insert and the registration papers are not yet in your name, it is recommended that you send these documents off together so the KFPS can update both at the same time.

  1. Become a GOLD member of FHAGBI (click here for details)
  2. Take copies of your horse’s registration paper and passport; keep these for your own records.
  3. Fill in your name and address on the back of the registration paper. Although it is laminated, you still need to write your details on it.
  4. Download, print and complete the TO1 - REGISTRATION PAPER CHANGE OF OWNERSHIP FORM.
  5. Download, print and complete the OP1 - ORIGINAL PASSPORT FORM. This form will also need to be completed by your veterinarian or a passport officer to verify the identity and microchip of the horse.
  6. Enclose registration paper.
  7. Enclose original passport.
  8. Send the above documents to the KFPS (address is on the forms). We strongly recommend sending it via registered post and put your details as return address on the back of the envelope.

Once received, the KFPS will then invoice you directly. Payment of the invoice can be done in various ways.

  • Contact Lynsey Gordon, quoting the invoice number and amount in Euros. Lynsey will reply with the amount in pounds, plus bank fee. Send Lynsey the payment and she will pay the KFPS on your behalf.

Once the KFPS has received your payment, they will issue/send you a new registration paper, and if sending an old-style passport without medical treatment insert, they will overstamp the old passport and issue a new-style, maroon passport listing you as the current owner.

DUPLICATE REGISTRATION PAPERS (LOST/MISSING/STOLEN)

If you have have lost your Friesian's KFPS registration paper (in your name or not), or it was not handed over at the time of sale, nor sent on to the KFPS, then you will need to apply to the KFPS for a duplicate registration paper. Follow these steps if you require a duplicate registration paper;

  1. Download, print and complete the DP1 - HORSE IDENTIFICATION FORM. This form will need to be completed by your veterinarian to verify the identity and microchip of the horse.
  2. Write a covering letter requesting a duplicate registration paper and your reasons (lost, not handed over at time of sale etc). Please include as much information as possible.
  3. Send these documents to the KFPS (address is on the form). We strongly recommend sending it via registered post and put your details as return address on the back of the envelope.

Once received, the KFPS will then invoice you directly. Payment of the invoice can be done in various ways.

  • Contact Lynsey Gordon, quoting the invoice number and amount in Euros. Lynsey will reply with the amount in pounds, plus bank fee. Send Lynsey the payment and she will pay the KFPS on your behalf.

NON-KFPS REGISTERED FRIESIANS

There have been several occasions when a person has bought a Friesian advertised as KFPS registered without receiving it's KFPS registration papers at the time of sale. On application for a duplicate KFPS registration paper, the KFPS have found no trace of it on their comprehensive database. This could be due to two reasons;

  1. The horse is eligible for KFPS registration, but its breeder did not complete the horse's registration to the KFPS as a foal.
  2. The horse is not eligible for KFPS registration due to it's pedigree containing untraceable or non-KFPS registered stock.

In both instances and at the owner's discretion, the KFPS would need hair samples taken from the horse and its parents for DNA testing to prove it's parentage and pedigree.

If the horse can be identified through DNA testing and it's pedigree verified as from KFPS registered stock, the KFPS will issue its registration paper. If the KFPS can find no trace of the horse through DNA testing, or trace the horse but find non-KFPS registered stock in it's pedigree, it is very unlikely that the KFPS will register the horse. This decision usually depends upon the pedigree of the horse and how far back the pedigree must be traced to find KFPS registered stock.

IMPORTANT! PLEASE MAKE SURE YOU RECEIVE YOUR FRIESIAN'S REGISTRATION PAPER AT THE THE TIME OF SALE TO AVOID ANY ISSUES OR DISAPPOINTMENT.

IMPORTANT

BUYER BEWARE - KFPS REGISTRATION PAPERS

If you are buying a Friesian advertised as KFPS registered, please ensure you are given the registration paper (and passport) at the time of sale. Here are a few reasons why someone might try to sell a horse advertised as KFPS registered without its registration paper;

  1. The horse might be stolen or part of an ownership dispute
  2. The horse may not be a KFPS registered Friesian
  3. The registration paper is genuinely lost but the seller does not want to apply for a duplicate for various reasons.

Our advice is NEVER buy a horse advertised as KFPS registered without being handed the registration papers at the time you collect the horse. If the registration paper has been lost, wait until the seller has obtained a Duplicate registration paper. Before agreeing a sale ALWAYS check that the registration paper matches the horse you are buying and get a vet to check that the microchip matches the one noted on the registration paper. Get a RECEIPT for the horse you buy which identifies the horse by its registration number and microchip number and clearly states the name, address and contact telephone numbers of the seller along with their signature, the date and amount you have paid.
